Southport Weekender - Terms and conditions

Following are the terms and conditions for booking and staying at the Southport Weekender 2025 at Butlins in Bognor Regis.

IF YOU DO NOT AGREE WITH ANY OF THE TERMS AND CONDITIONS AS SET OUT IN THIS AGREEMENT, OR IF YOU DO NOT AGREE WITH, OR AGREE TO ASSUME THE ALLOCATION OF RISK TO YOU AS SET OUT HEREUNDER, DO NOT MAKE A BOOKING AND/OR ENTER THE EVENT.

We will try to ensure that all information, photographs and accommodation descriptions have been compiled from the most accurate sources available at the time of going to press. Some facilities may vary between accommodation including bed configurations, décor, size and layout may vary from photographs and descriptions. Published photos show a typical representation of the rooms and apartments.

Southport Weekender may change these terms at any time by posting changes online, via email, in pre-arrival information or due to unforeseen circumstances.

You should review these terms regularly to ensure you are aware of any changes made by the Southport Weekender.

Booking your Southport Weekender weekend

Bookings for the Southport Weekender 2025 go live on 22nd March 2024. The official ticket company for this event is Easol

Accommodation is charged at its full occupancy rate, not the amount of people necessarily staying in it. So if you book a 4 berth accommodation, the price will be for 4 people whether you have 1 or 4 people in the accommodation.

There are no tickets for this event. Bookings for accommodation include the full weekend’s entertainment. Guests must be resident at the event to access entertainment areas and are not allowed to stay off site.

Before you arrive

Please ensure that all of the following guest’s details have been submitted for every every member of your booking by the 31st January 2025: Full name and address, Date of birth, Email address (of lead booker) Contact telephone number (of lead booker)

Failure to update us with the information required by the dates advertised, will lead to your booking being cancelled without refund. (Please see Identification & Data protection). You also need to make sure everyone in your group brings some photo Identification with them on arrival at the Weekender (passports or photo driving license to match the guest details supplied in advance). If we don’t get this information (or the names on your booking don’t match the guests who arrive) sadly we will have to cancel your booking.

Check in is from 2pm on 14th March 2025 - accommodation will be available from 4pm.

Behaviour

To ensure that a safe and secure environment is provided for all of our guests and team, we ask that you please show consideration to others and treat people and our facilities with respect at all times.

Offensive, illegal, or any form of anti social behaviour including any form of abuse to fellow guests or staff or any excessive noise will not be tolerated. If guests fail to comply with these rules at any point throughout their break, or Butlin’s/Southport Weekender reasonably suspects that they may fail to do so, their contract it will be terminated. They and their party will have their booking cancelled prior to arrival and or during their stay whilst on resort, without refund.

These are standards that we expect from our guests from the moment they contact us, throughout their Weekender and during any post Weekender communications.

Booking contracts will also be terminated if Butlin’s/Southport Weekender has a reasonable suspicion that any guest has committed, or intends to commit any of the above.

If you suffer from any verbal or physical abuse please report it immediately to a member of security staff or resort safety team so that it can be dealt with immediately.

Wristbands

We’ll be issuing you with wristbands on your arrival at check-in. It is your responsibility to ensure that you look after and wear your wristband at all times whilst on resort. Guests without wristbands will be refused entry to venues and may be required to leave the resort without refund.

Identification

All guests attending Southport Weekender must be aged 18 or over and are required to provide photo identification on arrival. The only accepted forms of Identification are a photographic driver’s licence or passport (provisional licenses are also accepted) and PASS regulated photo ID cards. If you do not have a driving license or passport to bring with you, you’ll need to sort out another form of photo ID card. We suggestc PASS scheme cards (must be card and not digital version) from:  LUCIDITI or CITIZENCARD who both run a priority delivery service. Failure to provide identification (as specified above) if asked will lead to refusal of entry to the resort.

In addition, for every guest on the booking we must have the full name, date of birth, full postal address including postcode, contact telephone number and with your consent, an email address so that we can keep all parties informed of our pre arrival guides, this is inclusive of up to date entertainment information about your break and future offers.

The above information is also required to ensure we know the identity of all guests ensuring that we help to provide an environment that is safe and secure for all.

This information MUST be provided by 31st January 2025 or we reserve the right to cancel your booking without refund. Bookings are Non Refundable.

Only the guests listed on the confirmation of booking may occupy the accommodation. If any other person/persons are found in occupation, we will terminate the booking contract, the guests and unauthorised persons will be asked to leave the resort immediately, and refunds will not be given.

Payment options

A deposit of around £50 per person (based on occupancy of accommodation) is required to secure the booking when paying by payment plan.

Bookings can be paid in full or paid for by deposit and then equal planned instalments as per the ticket company’s terms and conditions.

Pricing

All pricing is subject to promotional availability at the time of booking Southport Weekender. We guarantee that the price shown on your confirmation of booking for the accommodation, party size, is the amount payable by you. We reserve the right to raise or lower our prices and other charges at any time before booking. Please note that all prices shown are inclusive of VAT. We reserve the right to amend the VAT element of the prices in the event of a change in the rate of VAT.

Booking fees are set at £10 (calculated at 3-4% of booking amount) per person for all bookings. For a 4 berth accommodation this would be £40, for example.

Payments can be spread on Payment Plans through to November at a cost of £15 per booking.

Cancellations and amendments to your booking: There are no refunds on bookings, whether on payment plans or having been fully paid. This also applies at guest level, if someone drops out of your booking there is no refund available.

Re-sale of a booking: You are not allowed to re-sell your Southport Weekender booking

Re-sale of event wristband: Anyone found to be offering the resale of wristbands prior or during the break will lead to the booking being cancelled for both the individual involved and anyone associated to the booking, if identified whilst on resort you will be asked to leave, with no offer of a refund for any time missed on resort.

Guests with disabilities

If you or anyone on your booking have special requirements, please let us know when you submit guest details in early 2025. We will do our best to meet these requirements but they cannot always be guaranteed. If your special request is a necessity for you to be able to attend, or any member of your party has restricted mobility or access requirements, please email us to admin@southportweekender.co.uk the following information:

The number of disabled guests and carers in your party: Please note that a ratio of one carer to every unit of accommodation booked is required on all bookings made.

Advice of any special needs these guests may require The number of and sizes of wheelchairs being brought to the resort The number and sizes of hoists being brought to the Resort The numbers of and width of any scooters being brought to the resort Details of any prescribed medication We wish to ensure that we can provide the right accommodation and service, and require these details to meet your expectations.

Accommodation

Please treat your accommodation with care and respect; it will be inspected at the end of your break by the accommodation and housekeeping team. You will be held responsible for any damage caused during your stay. Damage to your accommodation may also result in the termination of your stay at Southport Weekender with no compensation.

£100 per room/apartment on the booking will be pre-authorised when you check in. We reserve the right to charge you during or after your stay for any loss or damage to our property. A pre-authorisation for payment may be requested upon your arrival at resort prior to check in for £100 per booking. For multi-unit bookings we will ask for a pre authorisation payment per unit of accommodation, this may be taken from additional guest cards if nominated as the lead guest in that accommodation. For group bookings of 19+, you will be asked to give us the lead accommodation guests names before your arrival on resort. This will be made via your debit or credit card. Your card will not be debited unless damages to your accommodation or that of our property are caused. The authorisation from your bank will last for up to 7 days and will impact the availability or access to the amount of funds authorised by your Bank or Building Society. We reserve the right to enter accommodation at any time and for any reason, to ensure the safety and wellbeing of all of our guests. Butlin’s reserves the right to require that any guest be interviewed by us, on Butlin’s premises, to enable us to look into instances of damage or nuisance to Butlin’s property or guests. Any person who refuses to comply, without a reasonable excuse, will be treated as having terminated their contract. They and their party will then be asked to leave the resort immediately and refunds will not be given. We reserve the right of entry to our resorts, and the right to refuse entry to our resorts without notice. Guests are advised not to bring electrical appliances to any resort, If they do so, they use the equipment at their own risk. 

Accommodation Descriptions: 

Room Only These 2, 3, 4 & 6 berth rooms offer 1, 2 or 3 room configurations with combinations of single, double and twin beds and do not feature kitchens. All of these rooms are in the Oyster Bay area. There is no sea view in Oyster Bay.

Self Catering Apartment Standard These 4 and 6 berth apartments feature a Studio Apartment layout with combination of single, double or twin and feature kitchens with fridge. 4 berth apartments have one separate bedroom and 6 berths have 2. There is a double bed in the living area, and twins, single in bedroom. These accommodations are in the Oyster Bay area. There is no sea view in Oyster Bay.

Self Catering Apartment Silver These 4, 6 and 7 berth apartments feature 2 or 3 bedroom configurations with double and twin beds and feature kitchens with oven, microwave, fridge and kettle. All 4 berth apartments have one double bedroom and one twin bedroom and all 6 and 7 berth rooms have a double, twin and adult bunkbeds bedrooms. All of these apartments are in the Oyster Bay area and there some fully adapted and wheelchair access apartments available. There is no sea view in Oyster Bay. 

Self Catering Apartment Gold These 4 and 6 berth apartments feature 2 or 3 bedroom configurations with double or twin beds and feature kitchens with fridge, microwave and free towels. All 4 berth apartments have one double and one twin room and all 6 berth rooms have a double and two twin bedrooms. These accommodations are all located in Atlantic Bay. Whilst close to the sea, there are very limited sea view apartments. 

Self Catering Apartment Seaside These 4 and 6 berth apartments feature 2 or 3 bedroom configurations with double or twin beds and feature kitchens with fridge, microwave and free towels. All 4 berth apartments have one double and one twin room and all 6 berth rooms have a double and two twin bedrooms. These accommodations are all located in the Seaside village. Seaside does not have Sea View. 

Deluxe Suites If a room’s not quite enough but a kitchen’s too much, these suites are the perfect in-between with extra space for relaxing. These One bedroom suites with double or twin beds have Bathroom with shower over bath and complimentary toiletries, lounge area with TV. These are split on two floors with lounge area downstairs and bedroom and bathroom upstairs. All suites come with towels included, tea and coffee making facilities (tea and coffee is not provided), and a mini fridge. There are no sea views. 

Hotel These 2 and 4 berth hotels feature 1 or 2 bedrooms with double, twin beds or adult bunk beds. All rooms have tea making facilities, chiller and free towels. These hotel rooms are in the Ocean Hotel, Shoreline Hotel and Wave Hotel. All of these hotels are of the same high standard and are equidistant from the music arena and there are some fully adapted, wheelchair access rooms available. All adapted rooms come with a twin or double and bunk beds. Not all Hotel rooms will have a door separating the two areas. Whilst close to the sea, a sea view is not guaranteed. 

Hotel Self Catering Platinum These 4 and 6 berth self catering apartments in the Wave Hotel feature 2 or 3 bedroom configurations with double, adult bunk and twin beds. They have full kitchen facilities including microwave and fridge and free towels. Whilst close to the sea, a sea view is not guaranteed.

Smoking policy

Butlin’s is a family resort, so for the comfort of all guests our resort and all of our accommodation is no smoking (this includes any private outside areas like patios and balconies). Smoking in your accommodation will incur a £75 cleaning fee. There are designated areas on resort for guests that wish to smoke. Given their remarkable likeness to cigarettes, this includes e-cigarettes. 

E Cigarettes:

E-cigarettes may only be used in the designated smoking areas provided. We do not allow these to be used in any of our entertainment venues or accommodation.

Venue Capacities

Butlin’s venues are subject to maximum capacities set by the local Fire Officer, and as such entrance to venues are not guaranteed. As our venues are popular seating cannot be guaranteed or reserved.

We recommend you arriving early to venues, well before your favourite artists set times.

Filming and Photography

Please be aware that photographic shoots and/or filming may be in progress during the Southport Weekender. You give us rights, free of charge, to anything containing your image (or the people in your party) that is taken while you stay with us.

Please be aware that some entertainment shows use strobe lighting. The availability of some outdoor facilities and entertainment may be affected by adverse weather conditions.

Alcohol and drugs policy

We have a zero tolerance policy on drugs. Anyone found taking illegal drugs or any other illegal substance will be asked to leave our resort and will not receive a refund for any part of their break. For the safety, wellbeing and enjoyment of all of our guests, we do not allow guests to bring excessive quantities of alcohol onto our resort. We are committed to responsible drinking and will confiscate any excessive alcohol at the resort entrance or from your accommodation during your break and give it back to you at the end of the weekend. You may bring up to 12 x 440ml cans of lager, beer or cider or 6L of lager or cider in plastic bottles or a 3L box of wine per person or one (maximum 700ml) bottle of spirit per person. You may bring this with you on arrival to the weekend only; there is no re-entry with alcohol. Where repeated attempts to breach this condition are made, Butlin’s reserves the right to terminate the contract without notice and without refund of monies paid. Please be aware that for licensing reasons only drinks bought in our venue bars may be consumed in our venues. Also, you cannot take drinks from one venue to another.

Refund Policy

Bookings are not redeemable for cash. Once Venue gates open, the Event, on that particular date, shall be deemed to have been delivered in its entirety and not subject to any refunds. Upon Event cancellation by Event Organiser, Event Organiser may, in its sole and absolute discretion, elect to either issue a full or partial refund to Purchaser, not issue any refunds, or reschedule the Event. Upon the cancellation of the entire Event, including, but not limited to events not within Event Organiser’s control, governmental acts, acts of God, riots, production delays, strikes, natural disasters, communicable diseases, inclement weather (regardless of severity), or inaccessibility or unavailability of the Venue, Event Organiser may, in its sole and absolute discretion elect to either, (a) issue Purchaser a full or partial refund, (b) postpone the Event for a future date and/or (c) offer Purchaser a comparable “make good.” Delayed Venue gate openings and/or Bearer’s inability to access any parts of the Venue or Event due to health and safety regulations, Event Organiser’s policy(ies), emergency and/or partial or complete Event or stage shutdown or evacuation, performance or Event delays and inclement weather shall not entitle Purchaser (or Bearer of the booking) to refunds or future credits. Under no circumstances shall Purchaser (or Bearer of the booking) be entitled to any type of refund or exchange due to weather conditions, personal accident/illness/berevement or governmental acts. If Event Organiser elects to issue a refund, which is in Event Organiser’s sole and absolute discretion, the Purchaser shall be refunded an amount up to the face value of the booking only. If Event organiser elects to reschedule the Event for a future date, Purchaser shall not be entitled to a refund. Under no circumstances shall Purchaser be entitled to a refund of any shipping, handling or other processing and service fees. At all times prior to the Event, Event Organiser reserves all rights to cancel or postpone the Event or to change the Venue, artist lineup, times and dates of the Event, or other Event details without prior notice to Purchaser or Bearer. Event Organiser shall not be responsible for any exchange rate losses to Purchaser during the order or refund process. 

ALL BOOKINGS ARE FINAL. THERE SHALL BE NO BOOKINGS REFUNDS AND/OR BOOKINGS EXCHANGES.
